PRIVACY POLICY

Clear information about how we use personal data.

A general privacy notice for Tectine’s website, business enquiries and client relationships.

LAST UPDATED: 13 SEPTEMBER 2026

How Tectine handles personal information.

This notice explains how Tectine (“we”, “us” or “our”) collects and uses personal information when you visit tectine.com, contact us, request a Patient Flow Scan or work with us.

It is intended as a general website and business-contact privacy notice. Specific services, campaigns or technology implementations may require additional notices or contractual data-processing terms.

INFORMATION WE MAY COLLECT

Only information relevant to the relationship.

01

Contact and enquiry data

Name, role, practice or business name, email address, telephone number, website, locations, treatment interests and the information included in your message.

02

Client and project data

Business contacts, instructions, approvals, service records, correspondence, billing records and information needed to deliver agreed work.

03

Website and device data

IP address, browser and device information, pages viewed, approximate location and cookie or analytics identifiers where enabled.

04

Marketing preferences

Records of consent, opt-outs, objections and communication preferences.

05

Public business data

Information from practice websites, professional profiles, Companies House or other sources that are lawfully public.

06

Support records

Messages, call notes and issue details when you ask us for help or discuss a service.

IMPORTANT

Please do not send patient health data through our general website.

Our forms, email links and Patient Flow Scan route are for business enquiries. Do not submit patient names, clinical notes, medical histories, diagnoses or other special-category health data unless a separate, appropriate process has been agreed.

  • Do not use Tectine as an emergency or clinical contact route
  • Minimise personal information in free-text messages
  • Use your practice-approved secure process for patient records
  • Tell us promptly if information was sent in error
WHY WE USE INFORMATION

Purposes and lawful bases depend on the context.

01

Responding to enquiries

To take steps at your request before a contract and, where appropriate, for our legitimate interest in responding to business enquiries.

02

Providing services

To perform a contract, manage projects, communicate, support delivery and maintain service records.

03

Operating and improving the site

For our legitimate interests in security, troubleshooting, measuring performance and improving our website, subject to cookie consent where required.

04

Business administration

To keep records, manage payments, protect legal rights and meet tax, accounting or other legal obligations.

05

Direct marketing

With consent where required, or legitimate interests where lawful and appropriate, while respecting PECR and your right to object.

06

Security and misuse prevention

For legitimate interests and legal obligations relating to fraud prevention, access control, system security and incident response.

MARKETING COMMUNICATIONS

Your choice comes first.

Where the law requires consent, we will ask for it. Business-to-business marketing may sometimes rely on legitimate interests, but we still assess the context, identify ourselves and provide a clear way to object or opt out.

You can stop marketing at any time by using an unsubscribe option where provided or emailing info@tectine.com. Service messages about an active enquiry or contract are not marketing.

SHARING & PROCESSORS

We do not sell personal information.

01

Service providers

We may use vetted hosting, analytics, communications, CRM, advertising, automation, security, accounting and professional-service providers.

02

Clients and delivery partners

Where necessary to deliver an agreed service and with suitable responsibilities and confidentiality in place.

03

Legal and regulatory bodies

Where required by law, to protect rights, respond to lawful requests or establish, exercise or defend legal claims.

04

Business changes

Information may be disclosed under appropriate safeguards during a merger, sale, restructuring or transfer of the business.

INTERNATIONAL TRANSFERS

Some suppliers may process information outside the UK.

Where this happens, we use an approved safeguard where required—such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved contractual clauses—and assess supplementary measures where appropriate.

  • Supplier location and service reviewed
  • Contractual data protection terms used
  • Access limited to what the service needs
  • Safeguards revisited when suppliers or law change
RETENTION & SECURITY

Kept only for as long as reasonably necessary.

Retention depends on why the information was collected, the relationship, legal and accounting duties, dispute periods, security needs and whether you have asked us to stop using it. Enquiry data that does not become a client relationship is reviewed and removed or anonymised when no longer needed.

We use proportionate technical and organisational measures designed to protect information. No internet service can promise absolute security. Access is limited to people and providers who need it for an authorised purpose.

YOUR UK DATA-PROTECTION RIGHTS

Rights may depend on the circumstances.

01

Access and correction

Ask for a copy of personal information we hold about you and correct information that is inaccurate or incomplete.

02

Erasure and restriction

Ask us to delete or restrict use of information where the legal conditions are met.

03

Objection

Object to processing based on legitimate interests. You have an absolute right to object to direct marketing.

04

Portability

Receive certain information you provided in a portable format where the right applies.

05

Withdraw consent

Withdraw consent at any time where we rely on it, without affecting earlier lawful use.

06

Complaint

Raise a concern with us first if you wish, and complain to the UK Information Commissioner’s Office.

COOKIES & ANALYTICS

Controls depend on the technology used.

Strictly necessary technologies may operate to deliver and secure the site. Non-essential analytics, advertising or similar storage and access technologies should only be used with consent where required.

Browser settings can also limit cookies. Blocking some technologies may affect website features. Our cookie banner or settings tool, where available, provides the current controls and vendor detail.

OTHER IMPORTANT INFORMATION

Children, automated decisions and changes.

Our website and services are directed to dental practices and other business users, not children. We do not intend to collect children’s information through this site.

We do not use general website enquiry information to make solely automated decisions that produce legal or similarly significant effects about you. We may update this notice when our services, suppliers or legal obligations change; the latest version and review date will appear here.
